  • Starting for the first time

    Welcome to gWorkspace! Thanks for choosing to use greenspaceLives gWorkspace.

    gWorkspace is the foundation of your greenspaceLive experience; building a portfolio in gWorkspace allows you to link in both gEnergyEPC and gDashboard data; should you decide to use those products.

    To access the web interface of gWorkspace, simply visit www.greenspacelive.com, register/log in and then navigate to "My gSpace". This will start your gWorkspace.


    If you are starting gWorkspace for the first time, you should be presented with the screen below, which should allow you to add a new building project to your gWorkspace portfolio.



    Creating a Project

    There are two ways to create a project within your gWorkspace; One is to use the popup window that appears on your first log-in to create a new project. The second, is to use the Create Project Button located at the top left of your gWorkspace screen.

    Once you have selected either of these two options, you will then be presented with the Create New Project wizard as shown below.

    Enter your Project name, Location and Building Type. You can also pick a project image from the images shown or upload a custom image by clicking "Browse".

    Once you press ok, you will be returned to the gWorkspace project panel.



    Opening a Project

    When you are presented with the Project Panel, you simply double-click a project to open it. You will then be navigated to the Project information and files.


    Adding Folders

    To create a new Sub Folder, click Create Folder. To Navigate into this folder, double click it.


    Adding Files

    To Upload files into your gWorkspace, click upload, select the file you wish to upload from the new window, and then press "Upload". Your new files will appear in your gWorkspace once they have completed uploading.


    Navigating Folders

    To navigate back to a parent folder, use the breadcrumbs at the top of the file view to backtrack to the parent folder(s).


    Rename a Project

    To rename a project, use the Drop Down menu on the Main Project panel. Select and click Rename and you will be presented with a popup window asking for your projects new name. Enter the new name and press OK. This will now be reflected on the main project panel.


    Edit a Project

    If, for any reason, you wish to change the information you entered for your project on creation, you can Edit the project information. This is done on the main project panel, from the dropdown menu or from within the Project details panel.

    Once you've pressed selected Edit, you will be taken to the same screen you are presented with when you create a new project. Change/Delete the information you are wanting to edit, then press Ok to save or Cancel to abort.


    Delete a Project

    If you decide to delete a project from your portfolio, you can do so from the main project window. Select Delete from the dropdown and your project, including all files and subfolders, will be permanently deleted.

    Adding to your workgroup

    In order to start project Collaboration, you require to be connected to your fellow users. To connect to a user, you can use the Search function to search for a user, or use Invite and Connect available in the My gSpace menu.

    Search by email address or name, and select the user from the list.

    Once you have selected them, click Connections > Request Connection.

    Once you have added a user to your workgroup, you can then use the Workgroup functions available from gWorkspace.


    What is Collaboration?

    Collaboration allows you to share projects with other greenspaceLive.com users. This can greatly boost productivity as greenspaceLive offers you a base to store all your project information while you and your colleagues can all work on the project and add and view files and folders in real time. For example, collaborating with an architect could mean that he uploads models into gWorkspace, you can view them and then message him about changes, which he can then apply and the changes are reflected within gWorkspace once he has uploaded the file. Your project collaborators can view, add, modify and delete files within your project.


    How to Collaborate

    In the dropdown on the main project screen, select Invite Collaborator.

    You will then be presented with a new popup window showing your connections. Select who you would like to collaborate with and press Invite.

    The collaborator will then be prompted with a popup window next time they use gWorkspace, asking if they would like to collaborate with you on this project.


    View Collaborators

    In the dropdown on the main project screen, select View Collaborator.

    A popup window will appear detailing the users collaborating on this project.


    Remove Collaborators

    To remove a collaborator, first you must view who you are collaborating with. When you are presented with the View screen, click the username and click remove. The user will then instantly be removed from using all files and folders associated with that project on gWorkspace.


    Remove yourself from a Collaboration

    To Remove yourself from a shared folder, you must "Delete" the folder from your listings on the Project Management panel. Alternatively, you can contact the Project owner, who can manually remove you as a collaborator.

    Both of these methods will remove you from the Collaborated project.


    Workgroup Messenger

    Another Advanced feature that is part of gWorkspace is the Workgroup Messenger. This allows you to message other people in your workgroup about your Projects that they will receive in Real-Time or, if they are offline, the next time they log in.

    To send a message, click Workgroup within a project. Select the user you wish to message, and click Send Message at the bottom of the screen. Type your message and press send! The user should receive notification of your message soon.

    To check your own messages, click Messages and then click a message to read it. The message contents will appear in the bottom panel of the window.

    You can Reply to the message by pressing Reply, or Delete the message by pressing Delete.


    Search

    To use the Search function of gWorkspace, chose Search from the Project details panel. Enter your search term and press search. Your gWorkspace will then search for your term and display them in the window. Please be aware that search terms are case sensitive.


    Versioning

    To activate Versioning on your files, click the Drop Down menu and select "Enable Versioning"

    To view the versions of a file, select "Show Versions". In the Popup window, you can view your file versions.

    To change a file version, select a version and click "Set as Current".

    If you wish to delete a version, select the version and click "Delete".
